PREAMBLE

The @haiku-os.org email program is set up to provide email aliases for contributors. It is mainly geared at providing an email address that can be particularly useful during exchanges with third parties, where the email address can add an extra layer of trust and recognition. A secondary aim is to provide an extra form of recognition for contributors.

PROCEDURE

If you are a developer and you want an @haiku-os.org email alias, send an email to haiku-sysadmin@… with your login name for svn.haiku-os.org, and your preferred email alias.

If you are not a developer with subversion access, but you are contributing to the project regularly in other areas, you can also get an email alias. Especially when you are going to represent the project on conferences, or when you are in conversation with a third party about sponsorship, an alias can be of use.

Usually another trusted contributor, active in the same area as you, should suggest on haiku-sysadmin that an email alias should be created for you.

POLICY

The use of the email address is at the discretion of the owner. In order to protect the Haiku brand, there are a few things that should not be done using your @haiku-os.org alias.

The first thing is that you should not conduct any illegal activities (including spam) with your email address. Secondly, it is not allowed to pursue any commercial activities with your email alias. For example, you are not allowed to sell software using your email alias, or use it on websites or anywhere else to solicit for private donations. Finally you should avoid using your @haiku-os.org email address in situations where it might be perceived as if you are an official spokesperson for the project.

In case of an immediate threat to Haiku's systems, any administrator can suspend an account to protect the quality of our services. The system administrators will contact the owner of the email alias after an abuse complaint, and they will try to work with him/her in order to resolve it.

An email alias is principally given out for life, except in three distinct cases:

1. when the user is actively kicked off the project, as per the guidelines that are set by the recognized contributors.
2. when the user has not been active for 10 months. Activity is defined as making svn commits, participating on ​http://dev.haiku-os.org or sending messages to haiku-development. (though the latter does not have to be done with the @haiku-os.org email address).
3. when due to technical reasons it is no longer possible to provide email addresses.

In the case of inactivity, the system administrators will try to contact the owner of the mailbox through his/her known address(es) and through the provided address. They will allow a period of two months to respond.

PRIVACY

The email system is maintained by Haiku's system administrator pool. They do not manually monitor incoming or outgoing messages, intercept traffic or interfere in any way. Except:

1. At the request by the owner of the mailbox.
2. When it is necessary for the operation of Haiku's servers, both to analyze immediate threats, or for the realization of long term improvements.
